How do I switch from a manual hotel register or Excel to hotel software?
SajhiloStay HMS guide · Updated
Start with what your hotel is, not what it did. SajhiloStay HMS imports your rooms, rates, guests, staff and stock catalogue from Excel, Google Sheets or photos of your register, runs a dry-run first so nothing is written until you confirm, and opens a clean ledger from go-live instead of inventing past bookings.
The fear that stops most owners is losing their history. The answer is to bring across everything your hotel is, and leave what it did in the registers where it is already safe.
Step 1 — Gather what you have
An Excel file, a Google Sheet, or clear photos of the register all work. Usually that is:
- Rooms, room types and rates (including festival rates)
- Guest list with phone numbers
- Staff list and roles
- Stock catalogue — items, units, suppliers
- Bookings already confirmed for future dates
Step 2 — Dry-run
The import runs as a dry-run first and shows exactly what would be created. Nothing is written until you have looked at it and confirmed.
Step 3 — A clean, honest ledger from day one
We deliberately do not invent past payments and bookings that were never in a computer. Your old registers stay your record of the past; the new ledger starts accurate from go-live, so every balance in it is one you can trust.
Step 4 — Train and go live
Front desk staff need check-in, check-out and taking a payment on day one. Remote onboarding is free with every plan; on-site training anywhere in Nepal is available too. See how long setup takes.
Step 5 — Keep the register for a week
Run it alongside if it helps. Most properties stop opening it within days.
Data migration is listed on the pricing page as a one-time add-on priced by volume. More: what we can bring across from Excel.
