How does SajhiloStay register bills with the IRD and print a proper tax invoice?
SajhiloStay HMS guide · Updated
With IRD billing switched on, every till sale, room checkout and group checkout is registered with Nepal's Inland Revenue Department the moment it is settled. The IRD invoice number prints on a TAX INVOICE with your PAN, the customer's PAN, the Nepali date and HS codes. Refunds become credit notes, and bills taken offline retry automatically.
A VAT bill typed into a computer is not the same thing as a bill the tax office already has on record. With IRD billing on, SajhiloStay does the second: each sale is sent to the Inland Revenue Department as it happens, and the bill your guest takes away matches the IRD's record figure for figure.
What is registered
- Every restaurant till sale
- Every room checkout and group checkout
- Every refund — as a credit note against the original invoice, on the IRD's side too
What the printed bill carries
- TAX INVOICE heading for a VAT-registered hotel
- Your hotel's PAN or VAT number, and the IRD invoice number
- The customer's name and PAN, asked for at checkout under "Bill To"
- The Nepali (BS) date, HS codes and the amount in words, with paisa always shown
- ORIGINAL or "Copy of Original N" — the original prints once, from the counter, by staff with that permission; every reprint is marked as a copy
When the internet is down
You keep billing. A bill that could not be sent is marked with its sync state, retried every half hour, and can be resent with one button — so a dropped connection never stops checkout.
VAT and service charge
Service charge and VAT are worked out automatically on restaurant bills. Room rent can be taxed too, with a switch that is off by default so nothing changes until a VAT-registered hotel turns it on — and a restaurant order on a room bill is never taxed twice. For the basics, see printing a VAT bill with service charge.
Every property's registration is a little different, so talk to us about your PAN/VAT status before you switch IRD billing on.
