## Questions hotel owners ask

### How much does a hotel management system cost in Nepal?
SajhiloStay HMS costs NPR 15,000 for the first year for homestays and guest houses up to 10 rooms, with setup and staff training included, then NPR 8,000 a year. Small hotels up to 20 rooms pay NPR 25,000, then NPR 12,000 a year. Restaurants and cafés start at NPR 12,000, then NPR 8,000 a year. VAT-registered businesses can add IRD e-billing priced by how many bills they issue.

### Is SajhiloStay easy to use for non-technical staff?
Yes — being easy is the whole point ("sajhilo" means easy in Nepali). The screens are simple and task-focused: front desk sees rooms, waiters see tables, the kitchen sees orders. Most staff are comfortable within a day, free training is included with every plan, and it runs in a normal browser on any phone, tablet or computer your team already uses.

### Is SajhiloStay the same as "Sajilo Stay"?
No. SajhiloStay (often searched as "Sajilo Stay") is hotel management software for hotel and restaurant owners in Nepal, made by OM IT Solutions in Birendranagar, Surkhet. It is not the similarly named Sajilo Stay booking site for travellers, so you cannot book a room here. If you run a hotel or restaurant, see the pricing or book a free demo.

### Does it work without fast internet?
Yes. SajhiloStay is deliberately lightweight and works comfortably on ordinary Nepali broadband or 4G — no heavy pages, no big downloads. It does need a connection, but nothing fast. For properties in remote areas, ask us about a local-network installation so the front desk keeps working even when the internet goes down.

### Is my data safe? Can I back it up?
Your data lives in a proper database with role-based access control, brute-force login protection and a complete audit trail — nothing is silently edited or deleted. With our managed hosting, automated backups are included, and you can request a full export of your data anytime. It's your data, always.

### Can I migrate from Excel or paper registers?
Yes. Data migration is a one-time add-on (NPR 5,000–25,000 depending on volume). We bring across what your property *is* — your guests, staff, rooms and categories, and your stock catalogue — so you open on day one with your real data instead of an empty system. What we deliberately don't do is invent past bookings and payments that were never in a computer: your old registers stay your record of the past, and your new ledger starts clean and honest from go-live.

### Does it support VAT bills?
Yes — service charge and VAT are configured once and applied automatically to restaurant bills, and to room rent too if your hotel switches that on. With IRD billing enabled, every till sale and checkout is registered with the Inland Revenue Department as it is settled: the IRD invoice number prints on a proper TAX INVOICE with your PAN/VAT number, the customer's name and PAN, the Nepali date, HS codes and the amount in words. The original prints once; reprints say "Copy of Original". A refund becomes a credit note, and a bill taken while the internet was down is sent automatically once it is back.

### Can I use SajhiloStay for a restaurant or café with no rooms?
Yes. Restaurant-only mode runs the whole system with the front desk switched off — no rooms, bookings or guest screens anywhere. You keep the restaurant POS, kitchen/bar tickets and printers, QR table ordering, Fonepay QR, stock and recipes, IRD billing, accounts, HR and payroll. It suits standalone restaurants, cafés, bakeries and bars.

### Does it work with ZKTeco biometric attendance machines?
Yes. ZKTeco fingerprint and face terminals that support ADMS (push / "cloud server") mode send every punch to SajhiloStay the moment it happens — nothing to export or plug in. The earliest scan of the day becomes check-in and the latest becomes check-out, in the same attendance record payroll reads. Only terminals you register are listened to, and a PIN not yet linked to a staff member is held until you map it, then counted.

### Does it include our hotel's website?
Every plan includes a public website with live room search and online booking requests, plus a CMS your staff can edit without a developer. You also choose how it looks — 15 homepage designs and 3 booking-flow designs, switchable yourself at any time. Domain, hosting and premium custom design are available as add-ons.

### How do guests pay by QR? Do we need our own Fonepay merchant account?
Payments land in your own Fonepay merchant account — we never hold your money. The system generates a dynamic QR carrying the exact amount, so nobody types a figure, and it confirms the payment with Fonepay — matched on both the reference number and the amount — before recording it. Your staff never have to squint at a guest's phone deciding whether it went through. Taking a dynamic QR costs 1% of the amount collected, drawn from a prepaid credit balance you top up from inside the system. Prefer not to use it? Switch the gateway off and fall back to your own static QR — cash and card are unaffected either way.

### Can we change how our website looks?
Yes — 15 homepage looks and 3 booking-flow looks, chosen from your own CMS with no developer involved. Preview any theme privately first: your guests keep seeing your live site until you press Activate. Switching re-dresses the content you already have rather than clearing it, so trying a new look never costs you a word of your text or a single photo.
